Company Vehicles

Description

The aim of this service is to regulate the procurement and use of any vehicles required to undertake work pertaining to the FCC Group, efficiently and in line with cost saving and optimisation criteria.

In a meeting held on 8 September 2014, the FCC Management Comitee approved the Vehicle Allocation Regulations which ensure a common policy for managing FCC Group vehicles.

For the purposes of the process, any light automobiles used for work purposes, either industrial, commercial or as a means of getting around, shall be considered vehicles and shall be paid for by FCC Group

Who can request it?

The content and guidelines are applicable to all companies and all group employees with no exception, as well as to Joint Ventures which are mainly controlled by FCC Group companies or where there is responsibility for managing them.

Organisation responsible and contact

All procedures, information and documentation relating to this Company Vehicle Policy fall under the responsibility of the General Organisation Management Department. The role of the FCC Group Fleet Manager is delegated to the Purchasing Department.

Operating procedure

Type of contract:

  • Rent a Car AVIS / HERTZ (through the Travel Dept.)
  • Flexible leasing: Fixed monthly amount with a duration of under 24 months. No fixed term commitment and no penalty for terminating the contract.
  • Fixed leasing: Includes maintenance, tyre change per vehicle, and roadside assistance from 0 Km...etc. There is a fixed term and kilometre commitment. There is a penalty for cancelling the contract early. (Check early cancellations with the vehicle department).

Process:

Vehicles for undertaking duties:

They are to be requested three months prior to the termination date.

For flexible leasing agreements “with no commitment”, 15 days notice.

Vehicles for undertaking work (Industrial and Commercial)

In any of the possible contract types listed above (flexible leasing, fixed leasing), the contract from the supplier must be sent three months prior to the termination date in order to be assessed, considering other similar options, within the same parameters.

Any new additions will also require authorisation from this department. 

In order to facilitate the whole process of requesting and choosing a vehicle, fill out all the fields on the form so as to avoid confusion regarding the car, timeframe, kilometres, accessories and prices of the vehicle. You must state the authorisation data relating to the request.

In the event of renewing/extending the contract, the request form will be sent along with the contract in force to the email address listed (see organisation responsible and contact).

No vehicle can be renewed without authorisation from this department.  Once approved by this department the form is sent back to the person and to the allocated supplier.

Once the process is complete, they must send us a copy of the new contract and state the vehicle registration and reference number in the email.

Makes, Models and Versions: The makes and models approved by the FCC Group will be established by the Purchasing Department, applying cost optimisation, availability and service level criteria.

Extras. Extras entailing an additional cost cannot be requested   (colours, power, etc.), except for those required for Service or Security reasons.
